It is now possible to manage your property via a smartphone from the other side of the world if you wish. Nor do you need to be a technical wizard. However, you will need help from the ‘software as a service’ providers.
It’s quite common for independent vacation rental owners to live away from – sometimes a long way away from – their rental properties. You may live in a different county or state: even a different country.
Yet your property will still require the same amount of management and maintenance as if you lived next door. And even if you live close by, you may not be there 365 days a year to manage your property. You may go travelling or, who knows, even take a vacation yourself!
So, how can you manage your property when you’re not there? Technical developments in communications and the advent of the internet now mean that you no longer need to be on site, providing you have a reliable manager ‘on the ground’ and a good, reliable communication system.
Manage your property via smartphone
With these things in place, you can travel the world should you wish, and still remotely manage your property very successfully via smartphone, tablet or laptop computer. In order to do it successfully and to avoid spending so much of your time handling things, you should investigate the SaaS (software as a service) programs and packages that can help you with this.
You’ll need a website, of course, and there are cloud-based programs available which can take care of your inquiries and reservations calendar with personalized, professional responses. Programs that can generate all the regularly needed documentation such as quotes, balance requests, confirmations, rental agreements and more and send them out with minimal involvement, but full control, from you, if that’s how you’d like to manage your property.
We would also recommend using a service which gives you control of communications with your manager and any staff on site. Look for one that enables you, wherever you are with internet access, to communicate instantly via an internal email system with your nominated staff members.
It allows them necessary limited access to specific areas of your website on any internet enabled device. So, for example, you will decide any access privileges to your housekeeper, say, who would only be given access to the reservations calendar and details of guest arrivals and departures (on her tablet or smartphone ideally) to make sure that rooms are prepared in good time.
If you manage your property remotely from another country, or even if you have foreign guests, you may be interested in another cloud-based service which allows you to be paid in the currency of your choice.
This type of service can also be used to monitor and control foreign currency exchange fluctuations in your advertised rates and payments to help you avoid losing out when a particular currency value changes.
Get the best value
Some of these services may be available on an individual basis, but they are more often part of a service package. It’s well worth comparing rates to get the best value and don’t assume that a pick’n’mix approach will be cheaper in the long run.
Some subscription packages offer very good value while providing you with a variety of other tools that you can use to manage your property and get the best out of your vacation rental.
Once you have this kind of support in place, you should be able to look forward to having a setup that operates round the world and round the clock, keeping you informed and in control wherever you are.
